Introducing the Barnes Walker AI Closing Estimate Bot

We have all been there. You need a quick closing cost estimate. You Google a calculator, click a link, and suddenly you are staring at a static form that looks more like a tax audit than a helpful tool. You fill out endless fields, guess at numbers you don’t know, and hit submit only to get a number that is “ballpark” at best, and wildly inaccurate at worst.

The industry standard for closing cost calculators has been cumbersome for a long time. At Barnes Walker, we decided it was time to fix that.

The Vision: “As Easy as ChatGPT”

The solution didn’t come from an expensive third-party software vendor. It was built in-house. Brian Galvan, our Director of Marketing and Business Development, is also an established app maker. He looked at the tools currently available to the public and Realtors and realized that his background in development could bridge the gap.

He didn’t just want another form to fill out. He wanted a conversation.

“I wanted it as easy as ChatGPT for people,” Brian explains. “Where you give it simple info of what you are doing, like buying, selling, and the price, and the system is smart enough to gather what it needs to create a simple closing cost estimate for you.”

Building the Brain

Brian started from scratch, working side-by-side with Barnes Walker attorneys and seasoned closers. He didn’t just write code. He trained a model. He fed the AI a strict diet of Barnes Walker-specific pricing, Florida county recording fees, and complex title premium tables.

The road to innovation wasn’t a straight line. The first beta versions were… memorable. To be honest, they sucked. The math was creative, and the logic was loose, giving the development team a good laugh. But Brian kept refining the prompts and the data sets, pushing the model to stop guessing and start calculating.

Trial by Fire

The real turning point for the project, the moment we knew this was ready for the real world, wasn’t in a code review. It was in the lobby.

During the beta phase, a local Realtor rushed into the office. She was on her way to a high-stakes seller meeting and was having trouble getting the numbers to line up using the older, clunky industry calculators. She asked if someone could help her get an accurate net sheet and said she would wait.

Brian was called to assist. He walked back to one of the experienced closers on-site and asked if she could generate a quick closing estimate. The closer immediately began her “manual ritual” of pulling up spreadsheets, typing in data, and hand-calculating specific recording fees. It was accurate, but it wasn’t fast.

Five minutes passed. The Realtor was checking her watch. The closer was still deep in the math.

Brian, standing nearby, decided to quietly fire up the beta version of the AI bot on his phone. He entered the same sales price and loan details the Realtor had provided. In seconds, the bot spit out a complete breakdown.

He showed the screen to the closer. She paused her typing and leaned in, skepticism written all over her face. She went line by line, comparing the AI’s instant output against her manual calculations. She checked the doc stamps. She checked the title premium. She checked the county fees.

“Hey,” she said, looking up. “That is exactly what is needed.”

It was 100% correct. Brian took the info back to the waiting Realtor, who snapped a photo of the breakdown and rushed off to her meeting equipped with accurate numbers. That moment provided the fuel Brian needed to push the app from a “beta experiment” to a finished tool.

Under the hood, this isn’t a simple script. Brian utilized Gemini’s AI Studio and deployed the application using Google Cloud Apps. By creating specialized containers, he was able to embed the bot directly into the Barnes Walker WordPress site.

He also spent weeks refining the User Interface (UI). He ensured that the mobile experience was seamless by solving the annoying issues where phone keyboards cover up the chat window. This ensures you can get an estimate from your car, a showing, or your couch.

What’s Next?

With the launch of the AI Closing Estimate Bot on the Barnes Walker website, the general public and Realtors now have access to accurate, conversational estimates 24/7. But we are just getting started.

Brian is already working on the next evolution of the tool. Soon, we will roll out a voice-activated feature, allowing you to trigger your microphone and simply tell the bot what you need, skipping the typing entirely. Furthermore, we are developing a feature specifically for our Realtor partners: the ability to instantly generate and download professional Seller Net Sheet PDFs directly from the chat.

It is these types of bespoke AI tools that are helping our industry transition into a true artificial intelligence future.
